Automate MFT provides two organizational features, folders and tags, to help users structure, categorize, and quickly locate tasks. These features support scalability and make it easier to manage complex environments.
Folders and tags are designed to work independently or together, enabling users to implement logical hierarchies and flexible categorization schemes that fit their business needs.
Folders
Folders in Automate MFT are hierarchical containers that allow users to group related tasks. Much like folders in a file system, they provide a way to organize tasks by project, department, workflow type, or any other logical grouping.
- Hierarchical structure: Folders can be nested, allowing for multi-level organization.
- All Tasks folder: The All Tasks folder is a system-wide folder that contains every task in the Automate MFT environment, regardless of its assigned folder. It acts as a global view, allowing users to see and search all tasks in one place.
- Task organization: While all tasks appear in the All Tasks folder, each task can also be assigned to a specific folder for organizational purposes. If you create a new task while an existing folder is selected, that task will automatically be assigned to the selected folder.
Tags
Tags are user-defined labels that can be attached to tasks for flexible categorization. Unlike folders, tags are not hierarchical, and a task can have multiple tags.
- Multi-tag support: Tasks can have any number of tags, supporting complex categorization. You can also create new tags during Task creation.
- Cross-folder attributes: Tags can be applied to tasks in different folders, enabling flexible organization and reporting.
- Sort: Users can quickly sort tasks by tag. If a task has multiple tags assigned, the tags are automatically sorted alphabetically. Users cannot customize the order in which tags appear. For tasks with more than one tag, sorting based on a tag that is not first in the alphabetical list is not possible. Only the first tag (alphabetically) is considered for sorting purposes within the task list.
Use folders and tags together
Folders and tags complement each other, providing structure and flexibility for organizing tasks. Use folders for your main organizational structure, and tags to highlight attributes or requirements that span multiple areas of your workflow.
