Sending a package is like sending an email with attachments.

Send a Package:

The Package Actions panel can appear on your Home page, the Packages page, or both:

  1. On your HOME page, or on the PACKAGES page, click Send Package.

    The New Package page opens.

  2. Fill in the fields and make selections. See figure and table below for descriptions. Click Send.

MOVEit Transfer sends the package and saves a copy to your Sent mailbox.

Tip: Features and fields in the New Package dialog can vary based on how your organization was configured. Your MOVEit Transfer administrator and site policy determines available package options.

Tip: For keyboard-only systems, use the Tab key to browse and select the next item on the page, the Enter key to press buttons (once selected), and Spacebar to check or clear a checkbox.

Description

1.

To:

Include an email address for each recipient. Use a comma (",") to create a list if you have more than one group's or user's email address.

If your organization has the Address Book feature configured, click the To, CC, or BCC fields and select an address from the dropdown list.

From:

(not shown in this figure)

The From field is available if you have access to another user's mailbox (shared mailboxes is enabled). Click to select a user to be listed as the package sender. Note: Your signature is included in the message body by default, even if you select a different user as the package sender.

If the From field is not available, the package lists you as the sender.

2.

Show CC and BCC adds these fields to the page. Recipients cannot view BCC recipients.

3.

Subject

Description of the package. Appears in the new package notification email, and identifies the package in package lists.

4.

Classification

A business impact or information security marking you select for this package.

Note: Most information security policies that incorporate classification markings for media, documents, and messages require that the classification of a package reflect the highest classification found in the contents of the package. For example, if you or the custodian of a package attach what is considered a Confidential document to an otherwise unclassified package, by definition of this policy, you should re-tag the package as Confidential before you send it.

5.

Message Body

This option is set by the administrator for the organization. (SETTINGS > Ad Hoc Transfer > Content > Sending Files > Secure the Note). (Availability of this field depends on your organization's policy settings.)

Rich Text Editor

An HTML rich text editor is available to users of Firefox, and Mozilla browsers with JavaScript enabled. You can change the font, size, alignment, and color of the note content, format lists, and include links.

Note: If the rich text editor is not available, the Message Body field is a standard text box. You can enter standard HTML tags. The text box shows plain text; the received message is formatted.

Clear Formatting

Removes HTML formatting to facilitate copying content from different sources. This link is available only if the Rich Text Editor is available.

6.

Files

Lists the files you attach.

7.

Options

The options that appear depend on how your organization is configured. If an option has been locked by the administrator, the value appears, but you cannot change it.

  • Secure the note. Enables the note text to be sent securely, only through MOVEit. If unchecked, the note is included in the emailed notification.
  • Delivery Receipt(s). You (the sender) receive a notification email when each recipient of your package reads the package for the first time, and when a recipient downloads a file. If you selected another user in the From: field, both you and the other user receive a delivery receipt.
  • Prevent "Reply All" - Prevents the recipients from replying to all recipients of the package. This can be useful for administrators who want to send information to a large group, but do not group members to message each other.
  • Prevent all replies - Recipients cannot reply to the package.
  • Limit downloads to n per file - Maximum number (n) of times that recipients can download a transferred file. The maximum that you can specify is also shown.
  • Package will expire after n days - Number (n) of days that the package is available to recipients.
  • Classification. A information security tag or business impact tag. Choose a classification that reflects the highest level of classification or business impact of any information or attachments contained in the package. These tags are installed by your administrator.

8.

Menu (…) and Toolbar.

The toolbar and menu include:

  • Check Recipients. Verifies that the email address you entered are valid.
  • Save as Template. Saves the package as a template in the Templates mailbox. You can open a template, edit it, and send it. The original template remains unaltered in the Templates mailbox.
  • Preview. Shows what your note will look like to recipients. On the Preview page, click Edit to make changes.
  • Send. Send this package to recipients.
  • Discard. Discard this package.
  • Save as Draft. Saves the package as a draft. You can open it from the Drafts mailbox. Drafts can be edited or sent. After a draft is sent, it is deleted from the Drafts mailbox.

Sending a Package to Unregistered Recipients

If you sent a package to an unregistered recipient (that is, recipients that are not MOVEit users) you might be prompted to provide a password. The Provide Password page opens.

On the Provide Password page, make a selection:

  • Use Suggested Password

If you select this option, send the suggested password to the recipient.

  • Type Custom Password

If you select this option, follow the requirements and type a custom password two times. Send this password to the recipient.

Important: For this option, you must provide the password to the unregistered recipients by sending it as a separate email, phone call, FAX, and so on in accordance with your organization's security policy.

Recipient Reconciliation (and Package User Creation)

When the Send button is clicked, MOVEit uses the following rules to reconcile each email address as a package recipient:

  • If two or more users reconcile to the same email address within MOVEit Transfer, senders will be prompted to select the target-user to send that package to. If only one user is found, that user will be silently added as a recipient to the package.
  • If no regular users in the user's address book are found to match the given email address but a temporary user is found, that temporary user will be silently copied in as the recipient of the package.
  • In all of the above cases, only users who are active will be eligible as recipients. If one or more registered or temporary users are found that match the search term, but are not currently active, an error message displays.
  • If no existing user is found matching the given email address, MOVEit creates a temporary user based on that email address. By default, passwords are automatically generated and emailed to the user, "full names" are initially assumed to be the same as the email address, and the language of the recipient is initially assumed to be the same as the sender.
