Delegate File Sharing (Public Links)

Before any user can share public links, a user of Admin or File Admin role must enable the File Sharing permission for the given user on a particular folder's access settings.

Note: If the link button icon displays in the current folder (), you can already share and do not have to apply the configuration tasks in this section. You can skip to the section titled Share a Public Link to a File.

This topic demonstrates how a user of role Admin or File Admin can apply the File Sharing property to a folder and apply public link (File Sharing) permissions to a User (regular user) or other admin.

The topic shows how to:

  • Override strict parent folder settings. (Prerequisite for File Sharing and Folder Sharing scenarios.)
  • Apply the permission for a user to perform File Sharing within this folder.
  • Share a public link to a file.

Admins, GroupAdmins, and FileAdmins can grant/deny/override folder access policies to selected users or groups.

Task 1: Override Strict Parent Folder Settings

Admins, GroupAdmins, and FileAdmins can grant/deny/override folder access policies to selected users or groups. In the following example, a file admin grants File Sharing to self.

Follow these steps for File Admin or Admin to clear the Inherit Access from Parent... checkbox:

  1. Click FOLDERS from the side menu.
  2. Browse, select the newly created or existing folder you want to change access permissions for. (It is not best practice to share directly from a home directory.)
    Note: It is best practice to create a subfolder to share from. This example creates a subfolder with the path syntax /Home/userName/Shared.
  3. With this folder opened, click Settings ().
    The Edit Folder Access... view displays.
    Note: The user or group name appears in the User/Group column, with an "X" in each column to indicate an assigned permission.

    Tip: To modify "folder sharing" (Share) or subfolder permissions for the first time, you might need to "clear" (de-select) the Inherit Access from Parent checkbox. This setting allows folder structure or permissions for the folder level to be different from the parent folder.
  4. Clear the Inherit Access from Parent... checkbox, and then click on Change Value.

  5. Continue with the next task titled: Activate Folder/File Permissions for User.

Task 2: Grant File Sharing Permissions for User

This section demonstrates how to apply File Sharing Permissions for a user. Admin or File Admin user roles can apply File Sharing permission to other admins, regular users, or to self.

  1. From the Edit Folder Access... view, either apply File Sharing permissions for self or other:.
    • Self. Click the pencil button (), click the Folder Sharing checkbox for the current user, then click Change Permissions.
    • Other. Select or search and select a user or admin, click the File Sharing property checkbox, and the click the Add Access button.
      Note: Admins can select users from the user list or use usernames or email addresses in the text entry box. Users in Orgs with Ad Hoc enabled can use the contacts list. Admins and Regular Users with sharing privileges can input Email addresses of Temp users they want to share a folder with.

      After you click Add Access, Edit Folder Access... view displays the user(s) you selected with additional folder permissions.

  2. The user granted File Sharing permissions can configure public download links for all files in the current directory. See the next section titled, Share a Public Link to a File for instructions how to do this.
  3. (Optional) To delete or modify this users or permissions:
    • Modify. Click the Edit icon (). Select the checkboxes to grant folder access permissions. Clear the check boxes to deny a specific access permission.
    • Add. Select users, groups, or email addresses for temp users you want to share with, select one or more access and sharing privilege checkboxes and then click Add Access.
    • Delete. Click the Remove icon ()

Test for Success: Share a Public Link to a File

This section reviews folder access and sharing privileges.

To configure a public link:

  1. Open a folder where you have File Sharing permissions, select a file and then click on the Link () button.

    The Configure Shareable Link dialog box displays.

    Note: If you have File Sharing permissions for a folder, the Link () button will be visible along with the Shareable Link column.
  2. Choose a value for Expiration and Download limit (optional), and click the Create Link button.

    You can now select and view an entry with a date-timestamp for the link you created in the Shareable Link column.
